April 21st mini event discussion... can we do it?

It has been requested that we hold another multirealm get together on April 21st. This would include a cookout afterwards.

Thoughts, discussions, concerns.

BTW folks from Illinois are already confirmed coming. Mittelmarch may be coming. Hopefully Dragonspire can also come after we mention it to them. Other realms may also be in attendance.

We have an hour and a half trip to you guys so ice cream and hot foods will have to be more local in oragin. We could however provide stuff like drinks, chips, finger foods, snackey cakes...etc....


oh and hot dogs of course....



It's your show......but if you need extra help with weapon checking or an extra herald/marshal I would be happy to help out where needed. Not that you guys didn't rock last time. It just gets old not fighting all day.

Can we do it? I'd say yes. I am sure that everyone that came down the last time knew we had never even had a visit from another realm before. I think we can hold a rather relaxed mini event to allow people to once again come together and fight.

Pros:

We are establishing ourselves to be willing to have visitors at anytime, and we are willing to learn to accommidate them in a short notice.

This could be the start of a yearly minievent, a little bit ahead of my 2 year goal but I'm not complaining.

Personally i feel the more we watch, talk and interact with others the better of we are. Friendships we build together, will allow us to build the area together.

It might be less of a system shock to the younger members and those of us who haven't been to an event, by learning to interact and fight with a larger group.

Cons:

We are a young realm, even at almost 3 years old, and this might be over whelming.



Ideas:

I will be working with some ideas in the next couple weeks to get things panned out, but I thought maybe a give away of some sorts would be cool, after all we have those damn raffle tickets and nothign to use them on! Very Happy That of course will be something I will be reasearching to see if that is a possiblity.

Thoughts:

As I said before I wanted to hold a mini event for the area within 2 years, and this might be a small start to something we can do on a yearly basis, although we might have to move it to a later date eventually so as not to interfere with the olympics. I am very confident that everyone who comes will realize that we are not going to give them a Rag type event. It will be a learning experience and a valuable lesson, but is it a lesson that everyone is willing to partake in. I am just one man, and I am willing to work to make this happen. I just need to know if anyone else is willing to go along with it. My only concern as far as time is the fact I get back from a 10 day vacation the day before the date chosen. I will be able to stay in touch in California and Arizona thru email, but I will physically be unable to participate in any activities that be neccesary to achieve our maximum potential.

I like the pitch in idea, when people do something like that they take a greater interest in the activity. Doesn't have to be a feast fit for a king, although perhaps we could get Oron here, it just has to get rid of that gnawing in your gut.

Elindiel, any assistance you can give us would be greatly appreciated. we won't work you hard, I promise.

These are just a few things that came off the top of my head.

It is true you guys are a new realm, but a Mini-event is a good way to start. And since you have several more experianced people wanting to help out, it will be alot less stressfull.

I know we've talked about this last weekend but you guys should really charge a $2-5 entry fee on this day. KEEP ALL THE MONEY, do not do the 50/50 split thing. You can use the money to pay back those who buy the meat or ect. We do this all the time in Dagorhir as way to fund events....it's COMPLETELY LEGAL. There is no paperwork or taxes to keep track of. We raised $340 by doing this for the battle-athon. The money helped pay for a portion of the Olympics camp.
Everyone from MM that attended last weekend said they would surely pay $5 to enter, plus pitch in some food.
There is no reason not to get everyone involved in supporting this sport. If you have money left over you canuse it next event or use it to buy weapons materials and make community weapons.[/quote]

Elindiel and Tulio, or anyone for that matter is welcome to help us get this togther, a concentrated effort would allow us to run a smooth mini event. If you are interested in helping send me a PM or email, and I will add you to the event coordinator group.

A combat cookout sounds perfect! It is just the sort of thing I have been wanting to do! I will make sure the realm knows about it at practice Sat 17th.

Zaron's advice on a 'cover charge' is a good one. There will be expenses and if there is a little left over to make your realm better then it is a win /win!

Here is an update for everyone of what we are thinking of for April 21st:

List of activities:
1-Tourney
2- Bear Pit
3- battles
......-a. Legendary shield
......-b. Point battles
.......-c. unit battles
......- d. group battles (4-6-10)
.......-e. Gate battle
.......-f. Free for all
4. Demo ring for spectators, they sign waiver and we all ow them to fight one of us, kinda like the set up at Gencon last year that got some of us hooked on the sport.
5. Raffle
6. Feast
7. doorprizes

So far on tourney we have proposed this basically:

Participants draw tokens from a bag, you fight the person with the matching token
it will be a single round elimination with winners moving to next round
No missle weapons, and armor doesn't count, this is a test of skill
3 heralds for each match so that there are no tie decisions if needed
prizes for top 4 places
otherwise you can us reds, flourentine, or a blue and shield. or single blue

For the feast munu:

Hamburgers, hot dogs and fixins for them
Chips, cookies, veggie platters
Bottled water, ice tea

The timetable:

11-12 registration and weapon check
12-5 Battles and tourney
6-? feast

$5.00 dollar fee for the days activities, including the feast.

that is basically a rundown of what we are thinking at the moment. It is still a work in progress and we welcome comments from our community.

i may be late due to a double header baseball game in plainfeild or somehwere not sure cus i havnt got a scheduale yet but we usally play double headers every saturday morning early like 8 am so i will need to cheeck other wise i'll be there when grizzil is there.

I know that I am an outsider to your realm, but trust me when I say that my Kingdom has a great deal of experience in the hosting of feasts both small and large. I would recommend sticking with hot dogs only, as a way of keeping costs down. Burgers (even the frozen ones are expensive and add up quickly. Large bags of hot dogs can be purchased for far less. Fresh fruit is another thing that may be worth adding, as apples,oranges, and bananas can be purchased for little money, and if chilled is particularly refreshing after some hard fighting. Iced tea, especially from concentrate can make 5 gallons for just a few dollars. Chips, condiments, and non-perishable can be picked up early if you know of an inexpensive place to purchase them, like Dollar General.

If you are fortunate enough to have a discount grocery near your battlefield, I would put off purchasing food till after a majority have signed up and paid. This will give you a far better idea of how much food to buy, instead of guessing and over spending, or running out of food. Hope that helps.

I might be able to donate some amish friendship bread, that is only if you need/want it. The key word was might, if you want some then I can plan ahead and make a lot of it, but if I get no early notice then I will probibly not bring it.

I know you guys have a few dollar stores and an Aldis there. They always have good prices on stuff.

If I'm able to go (still up in the air, given my lifestyle) I'm definately bringing food or stuff with me. A pitch in might be a good idea too, but that's up to everyone else and what their resources are. Would we need charcoal if we used the available grills at the park (Are there grills at that park?) etc.

charcoal and fluid will be needed, there are a couple of grills and a fireplace in the shelter we are looking at. still discussing menu and what food will be there. may have pitch-in as well as what we are doing

Just an idea, Potluck Feast

I'm just throwing this idea out there based on something we did for 2 years and past SCA feast experiences.
We rented a Grange Hall and had about 50 people over for fighting during the day and a feast. We had a potluck, everyone bring something and we provided 2 smoked pork shoulders as a base meat course. We had MORE than enough food.

SCA feasts often had a first remove (or stuff sitting out on the tables) consisting of breads, flavored butters, cheeses, boiled eggs, nuts, fruit, olives, flavored olive oil for dipping, fresh veggies or a veggie tray. This is nearly a meal in and of itself.

Then on tables for the potluck part would be the main meat, ham, smoked chickens/turkey, bit crock pots of stew, brats, whatever. Also there are nice period items like pies which can be made beforehand, frozen and defrosted that day. Those include, meat pies (I have recipes and they are not hard), chicken pie, cheese, onion, mushroom, zuchinni pies.
Stuff like that.

Then a dessert table with all the regular dessert things plus maybe if someone wants any recipes I have for such delectables as Broonies (a scottish gingerbread), walnut pies, even something as easy as buying a bag or two of ginger snaps.

Beverages could be held in 2 or 5 gallon thermos things and we generally had water, lemonade (someone could bring just a big container of mix), iced tea, milk.

We provided paper napkins and a white small kitchen trash bag and twisty for people to put their dirty feast gear in afterwards to take home. Table cloths in the the color of the group are cool but are a whole other ssue.

Of course, that is assuming people are bringing feast gear, I don't know how Dagorhir works on that.

People could fill out what they are bringing on the Excel file on the forum (I was thinking) and if someone wanted to bring a big bag of paper napkins, or a gallon or two of milk or a jar of olives, or a can of nuts, it would add up with 30 or more people each choosing something, to quite a feast.

I'm just tossing this idea out there in case anyone finds something useful in it. If you want further detail on anything just ask. All my recipes are extremely easy and very tasty and tested many times.
For serving most of this stuff can just be set out when the time to eat arrives.

Berengaria I think that may be going outside the scope of a mini-event. A day of battleing and feasting can be quite glorius even on a modest budget. But in order to pull off events of that nature, and not loose money that can barely be spared, a fair amount of planing is required. I believe a more simple "cook out style" of fare will be a good start to seeing how to host a successful event. If thigs do not go well (poor attendance, terrible weather, etc...) The realm can learn from the things that did not go well, and build off of those that do.

The Olympics started out as little more than a picnic lunch with fighting just 4 years ago. The coordinators were confromted by many problems they had not forseen. Everything from poor planning, over-spendeing, and lack of experience running tournies or battles with larger numbers. Fortunately, veterans in attendance helped where they could, and most were understanding of a new realm, hosting it's first event. In 3 years, the event has tripled in size, and I believe it is safe to say has grown into an excellent event, complete with full feast on Saturday night , excellent field battles, and plenty of tournies.

Tis better to start of small, and exceed all expectations that shoot for the moon, and miss. This old barbarians opinion, anyways...

I see you've really pretty much set things up and have them worked out. I was just playing brainstormer.

Would you all mind if I brought something to add anyhow? Like a couple of zuchinni and/or mushroom quiches - just for the heck of it, no cost to anyone and in addition to our paying the site fee?
